4) Update sponsor benefits defined in Producer's Proposal of Services (Exhibit A) <br />and submit to PRCSA by July 1, 2013 for final approval and ensure that all <br />sponsor benefits are delivered as promised. All sponsorship agreements roust be <br />approved by 'PRCSA prior to contracting sponsor benefits relating to the use of <br />public spaces such as flag ;poles, banners, and City facilities. City retains the <br />right to approve all sponsor material which identifies the City by name, logo or <br />City seal. <br />5) Submit to PRCSA 30 days prior to the event start date a list of all confirmed <br />partners and sponsors. Submit changes to PRCSA as they occur. <br />6) Submit to PRCSA two weeks prior to their use, all sponsorship <br />acknowledgements including radio and newspaper ads as well as any materials <br />and announcements. <br />7) Pay for all sponsorship benefit costs. <br />F. Marketing and Communications <br />1) Update the marketing and conmrunications plan and timeline submitted in <br />Producer's Proposal of Services (Exhibit A) to reflect the contract start date and <br />submit to PRCSA by July 1, 2013 for final approval. <br />2) Develop and implement a Customer Relations plan that will provide effective <br />and relevant communications to merchants, residents and others within the <br />event boundaries to provide advance notice of event activities and to mitigate <br />problems that may arise. <br />3) Develop event marketing materials such as programs, rack cards, posters, print <br />ads, banners and signage, press releases, and advertising for the event and <br />submit to PRCSA at least 72 hours prior to their use for final approval. All <br />promotional materials shall include the City logo. <br />4) Produce and distribute information and marketing materials as defined in <br />Producer's Proposal of Services (Exhibit A) and according to approved revised <br />timeline. <br />5) Sponsorship by alcohol product companies shall be allowed subject to pro - <br />approval by City. Absolutely no direct tobacco product advertising shall be <br />allowed within or associated with the Film Festival. Neither tobacco product <br />advertising nor alcohol product advertising shall be distributed to minors. <br />6) Pay for all marketing and promotional costs. <br />G. Protocol Management <br />1.) Work with PRCSA to identify, invite and support the participation of <br />govermnent and other community representatives as well as talent, performers, <br />and VIPs. <br />2) Submit to PRCSA requests for parade entries according to the timeline <br />established for the parade. <br />H. Management and Support <br />1) Provide timely reporting on financial and event management matters starting <br />every 4 weeks and increasing in frequency towards the event date, as determined <br />by PRCSA. <br />to <br />
