accounting of project expenditures, coupled with a <br />detailed critical path schedule incorporating <br />milestone submittals, will enable Tetra Tech to <br />mouitor total project status and therefore modify <br />our project work plan at the earliest indications of <br />deviations from the initial plan. <br />Efficient cormnunication in the form of regular <br />meetings, and progress reports is essential to <br />effective project management. Equally important is <br />careful and accurate documentation of project <br />Progress, in the form of meeting minutes and action <br />items, decision logs and review comnnents. The <br />Project Manager is committed to effective <br />communication and accurate documentation as they <br />are fundamental to the success of titre project. All <br />meeting minutes, schedule, memoranda, mendily <br />progress reports, decision logs, and other <br />information will be made available for the project <br />team and to the City The Project Manager will be <br />proactive in communicating through telephone <br />calls, cmails, and one -ou- <br />one meetings. <br />Communications <br />Our approach to this project <br />includes a "teamwork and <br />partnering" approach with <br />the City. We are hired for <br />our resources, expertise, independent thought, <br />technical background and problem solving abilities. <br />We also recognize that the City possesses these <br />same attributes of past experiences, knowledge and <br />innovative ideas. Therefore, we understated that it is <br />imperative to work closely with your staff to ensure <br />a successful project. <br />following; summary of work performed during the <br />previous two weeks and the proposed work for the <br />upcoming two weeks; status of the action items <br />from the latest meeting or a -mail action Items; and <br />schedule of upcoming events /meetings /tlellveries; <br />and summary of any outstanding issues. In addition, <br />each month we will submit our invoices as well as <br />prepare a project status report containing the <br />following: surmnary of permit status /schedule; <br />description of key issues /coucems which have <br />surfaced along with proposed options and solutions; <br />and a project status summary report showing <br />current schedule, budget and earned value analysis <br />racking system. <br />Schedule Control <br />Tetra Tech will implement standard project controls <br />to monitor and evaluate project progress. We have it <br />long standing commitment with our clients to <br />deliver projects on time. However, throughout the <br />course of any given project, there may be occasions <br />where project schedules slip <br />for it variety of reasons <br />outside of our control, We <br />have successfully mitigated <br />project schedule delays In tine <br />Past by increasing the <br />available staff assigned to a. <br />project and by assisting our Clients with thorough <br />and timely reviews of dehverobtes. The Tetra Tech <br />team will always strive to work with the City to <br />bring any foreseeable delays back on schedule. <br />Communications <br />Keep the City Informed from Day II <br />Progress Reports BI- Weekly <br />Monthly Project Status <br />The Tetra Tech Team's goal is to keep die City's <br />stuff informed from day one of the project. <br />Conuuunication tools include the formal progress <br />reports, meeting agendas and minutes, e -mail and <br />informal give -anti -take approach starting with our <br />Project Manager and extending to every member of <br />the Tetra. However, at the project outset, a <br />chain of cornmand and cornrmueication methods <br />will be set -up and agreed upon. <br />We nre proposing to use e -mail to keep you aware <br />of the status of the project. Every other week, we <br />will prepare an c -mail update containing the <br />NL` �LUkmingY'nsVugnls \ \Yfll51k -YIDIA M'OJ _5A- 011CnrE1]gq .Is_ <br />Cost Control <br />The Tetra Tech team is committed to dolivering a <br />project that not only meets or exceeds titre <br />performance criteria established by the City, but to <br />accomplish [Ills within the allocated budgets. <br />Budget and schedule tracking tools will be used to <br />manage the day -to -day activities of a project, and <br />ensure that the project is progressing within <br />schedule and under budget; our Project Manager <br />utilizes Tetra Tech's "PM Portal." The PM Portal is <br />the primary project reporting software system <br />proprietary to Tetra Tech.
