5) Provide directional maps to PRCSA of areas where screenings will be taking <br />place two weeks prior to the start of the first screening. <br />6) The layout of each screening, including the placement of booths, stages, etc., <br />shall be mutually agreed between City and Producer. <br />7) Secure adequate staffing and volunteers to ensure effective management of on - <br />site logistics, including a sufficient number of well -trained staff scheduled <br />during the Film Festival to handle on -site logistical problems that may arise and <br />to handle last minute decisions and changes. <br />8) Attend meetings with PRCSA, its representatives and others as required for <br />plamzing, implementation, and evaluation of the Film Festival. <br />9) Coordinate and contract all requirements, which may include sound and lighting <br />systems; audio and video; staging and technology requirements; tenting; <br />sponsor signage/recognition; power, site security, etc. <br />10) Ensure that all sub -contract vendors have the capacity to adequately staff their <br />areas of responsibility, including on -site supervision. <br />11) Secure all necessary permits and/or licenses and submit to PRCSA at least two <br />(2) weeks prior to the start of each screening. <br />12) Pay for all logistical costs. <br />C. Artistic/Programming <br />1) Finalize the Film Festival program, including the development of all screenings, <br />talent, local entertainment, dates, locations, VIP presentations, sponsor <br />recognition as described herein and submit to PRCSA at least two (2) weeks <br />prior to the first screening for final approval. <br />2) Finalize the list of all confirmed talent, celebrities, and entertainment identified <br />in Producer's Proposal of Services (Exhibit A) and submit to PRCSA at least <br />two (2) weeks prior to the first screening for final approval. Submit to PRCSA <br />any changes as they occur. <br />3) Provide a series of free screenings that will be include appropriate activities for <br />families, insightful documentaries, and popular themes for people from different <br />cultures. The total number of screenings will be determined by City, selected <br />from the list submitted in Producer's Proposal of Services (Exhibit "A"). <br />4) Develop and incorporate ancillary activities that will complement the screenings <br />that will engage the community in a positive and productive way. <br />5) Design and produce a creative brand (look and feel) for the celebration, to be <br />used in all advertising and promotional materials and submit to PRCSA by July <br />1, 2014 for final approval. If a theme is considered, City and Producer must <br />reach mutual agreement as to said theme. <br />6) Negotiate and contract with all talent and performers, including travel logistics <br />and technical requirements. <br />7) Producer agrees not to sell or distribute or allow the sale of or distribution of <br />any tobacco products during the Film Festival. <br />8) Ensure permits and insurance requirements are secured by all subcontractors. <br />9) Arrange for and deliver to PRCSA two weeks prior to the start of the event; <br />written permissions allowing PRCSA to use photos and/or videos of the <br />participating artists prior to the Film Festival. <br />
