k e <br />CITY COUNCIL MEETING DATE: <br />JULY 7, 201E <br />CLERK OF COUNCIL USE ONLY: <br />APPROVED <br />❑ As Recommended <br />❑ As Amended <br />❑ Ordinance on 18' Reading <br />❑ Or na�ena Reading <br />❑ Implementing Resolution <br />❑ Set Public Hearing For <br />CONTINUED TO <br />FILE NUMBER <br />Authorize the City Manager and Clerk of the Council to execute an agreement with West Coast <br />Arborists, Inc., subject to nonsubstantive changes approved by the City Manager and City <br />Attorney, to perform street tree maintenance services, for a two-year period expiring June 30, <br />2017, with provisions for two, two -year renewal options exercisable by the City Manager and City <br />Attorney, in an amount not to exceed $1,082,516 annually, <br />DISCUSSION <br />The Public Works Agency is responsible for the maintenance of approximately 60,000 parkway <br />and street median trees. The Agency's goal is to preserve the integrity and health of the Santa <br />Ana Urban Forest. Street tree maintenance services have been performed by contract for the <br />past 20 years in partnership with City staff. <br />On March 17, 2015, the City Council approved the release of the Street Tree Maintenance <br />Services Request for Proposals (RFP), which was subsequently advertised on March 31, 2016, <br />on the City's website and online bid management and publication system, A summary of the <br />proposal invitations and proposals received is as follows: <br />31 Firms notified (2 Santa Ana firms) <br />7 Firms attended the Mandatory Pre - Proposal Meeting (1 Santa Ana firm) <br />2 Proposals received <br />Proposals were received on May 1, 2015, and evaluated by a committee comprised of senior City <br />staff representing three agencies: Public Works, Parks and Recreation, and Planning and <br />Building. <br />25B -1 <br />
