7.6.6 Inform RMS Data Conversion <br />This Project includes Evidence Data Conversion services for Inform RMS. The details of this conversion <br />effort is described in the following section: <br />7.8.8.1 Evidence Data Conversion <br />The evidence data conversion, is a multi -step process, which results in the conversion of the Client's legacy <br />evidence data into the Inform RMS Evidence module. In addition to Evidence item data, TriTech will <br />provide a one -time import of physical property item data that is currently stored in the Property acid <br />Evidence Facility managed by the Client. Property items that are not actually Evidence, but are otherwise in <br />possession of the Client, will be included as part of this conversion. <br />An Evidence conversion is intended to handle the physical property items stored in a managed Evidence <br />Room or other controlled temporary locations. It is possible to use this module to track property on hand that <br />is not actually Evidence associated with some case, but rather items that have been found or are being kept <br />for safekeeping. These could show up in Inform RMS in the Evidence module alongside actual items of <br />evidence. The only thing that would differentiate between them would be some status flag that might say <br />"Evidence ", "Found" or "Hold ", for example. <br />An item in the Evidence module can be associated with a specific Case. However, in an Evidence conversion <br />only the Case Number is brought into the data associated with an item. No other specific Case information is <br />converted. This would require a User to already know a Case by its number in order to locate an Evidence or <br />Property item that is associated with it. <br />There are other types of property, of interest to the department that would not be handled by an Evidence <br />conversion. In particular, items that were stolen but not yet recovered, items that were pawned, gums or <br />vehicles, etc. not in the possession of the Client, are not covered by an Evidence Conversion. In short, only <br />items that are in the possession of and stored by the department would be included. <br />When the user uses the Inform RMS Evidence module to manage their Evidence Room, they usually rely on <br />a built -in feature that can produce a "Chain of Custody" report. This report lists an unbroken record of where <br />the item has been (by location) from the time it was checked in up until its current location or its final <br />disposition. This is often used when evidence is brought into a Court case. In our experience, Client data is <br />seldom complete or accurate enough to produce a reliable Chain of Custody in the fashion of Inform RMS. <br />For the purpose of this Project, TriTech and the Client will apply commercially reasonable effort to convert <br />the Chain of Custody data, if the Client is able to provide the data with a high level of integrity in a manner <br />that is usable by Inform RMS Software, hi order to determine the data integrity and suitability of the Chain <br />of Custody data for conversion, TriTech will perform a review (up to S hours) of the data and if it is <br />determined that the data is not suitable for conversion, such conversion will not be performed, Prior to this <br />review and data submission, TriTech will provide the Client with information about common errors related <br />to the Chain of Custody data. In lieu of converting the Chain of Custody data, TriTech will create a section <br />in Inform RMS Narrative Report that shows all the raw data from the Client showing all transactions and <br />movements that they kept in their legacy system, in a narrative format which can be titled specifically for <br />ease of search. This data does not appear in the Inform RMS built -in report, but may be retrieved through <br />creation of custom reports by the Client. <br />Parties mutually acknowledge that the accuracy and completeness of the source data is the sole responsibility <br />of the Client. <br />This process requires the Client to extract a complete set of data for analysis and provide it to TriTech in a <br />Microsoft SQL Database. The Client will provide at least one initial extract of RMS data for TriTech testing <br />purposes, plus one final extract. All images and objects desired to be converted shall be included in the initial <br />and final extraction.
