• Conceptual database design based on EAMS industry best practices. <br />Deliverable: A detailed system design document. Provide for one review and edit cycle of the document with <br />the City EAMS project team. <br />Implementation Plan <br />Minimum requirement to include with Proposal Option Nos. 1 and 2 <br />Objective /description: to provide a comprehensive approach for the procurement of an EAMS and a detailed <br />description of how to begin implementing an EAMS Citywide /PWA. The Implementation Plan, based on the <br />findings of the Needs Assessment, should include the following: <br />• Evaluate and recommend vendors that provide EAMS software suitable for the City based on the finding <br />in the Needs Assessment phase. <br />• Assist in drafting an RFP for the procurement of an EAMS. <br />• Provide guidance regarding special concerns for the procurement of an EAMS. <br />• Provide an implementation plan for rolling out the EAMS Citywide, within PWA after the EAMS <br />software has been procured. <br />• Provide a plan for collecting and /or updating the inventories for all assets identified in the Needs <br />Assessment phase. <br />• Identify the discrete steps to implement the workflows identified in the needs assessment with task <br />dependencies and critical decision points. Include the steps required to implement the migration of <br />existing Asset Management data into the database design identified in the system design phase. <br />• Separate the implementation of the identified workflows into discrete phases to allow for adaptable <br />funding over multiple years. <br />• Provide estimated costs to implement the phases of the plan, including costs for collecting and updating <br />asset inventories and possible software /hardware acquisition costs. <br />Plans for near -term projects should provide significant implementation details, with more general information <br />provided for steps to be undertaken over the longer term. Specifics should address applications to be developed <br />as well as estimated costs and required resources (particularly for shorter -term implementations). <br />Deliverable: A detailed implementation plan document. Provide for one review - and -edit cycle of the document <br />with the City EAMS Project Team. <br />Final Presentation <br />Objective /description: To present an overall view of the project findings and recommendations to an audience. <br />This is essentially an executive summary with an opportunity for a question- and -answer session. <br />City of Santa Ana RFP 16 -013 <br />239 <br />
