REQUEST FOR <br />COUNCIL ACTION <br />DikV&Si111IRMIaJ! 14:1l1111Z" 07_v1114 <br />MARCH 21, 2017 <br />TITLE: <br />AMEND AGREEMENT WITH ACIRE, INC., <br />FOR MAINTENANCE AND SUPPORT OF <br />THE SECURE BIKE PARKING FACILITIES <br />(PROJECT NO. 14 -6853) <br />{STRATEGIC PLAN NO. 6, 1G} <br />A ' . - .W <br />CITY MANAGER <br />M44c1:cl06191m ll]tgfm*Q rw <br />MOWN RE <br />❑ As Recommended <br />❑ As Amended <br />❑ Ordinance on 1s' Reading <br />❑ Ordinance on 2ntl Reading <br />❑ Implementing Resolution <br />❑ Set Public Hearing For <br />CONTINUED TO <br />FILE NUMBER <br />Authorize the City Manager and Clerk of the Council to execute an amendment with Acire, Inc., to <br />extend the period of maintenance and support of the secure bicycle parking facilities in Santa <br />Ana for an additional one -year term beginning April 8, 2017, through April 7, 2018 and include <br />additional compensation of $31,700 for maintenance and support services during the extended <br />period beginning April 8, 2017, through April 7, 2018, and an additional $31,700 maintenance <br />and support services performed during the period beginning April 7, 2016 through April 7, 2017, <br />subject to non - substantive changes approved by the City Manager and City Attorney. <br />DISCUSSION <br />On June 3, 2013, City Council approved an Agreement with Acire, Inc., for the design, <br />installation, maintenance, and support for the secure bicycle parking facilities (Bike Huts) (Exhibit <br />1). The Bike Hut project was funded through the Federal Transportation Enhancement Program <br />and provided 4 facilities for commuters to securely lock up and safely access their bicycles in the <br />Civic Center and Downtown areas (Exhibit 2). The Agreement also authorized up to five one - <br />year renewal periods for maintenance and support. <br />Design and installation of the Bike Huts was completed on April 7, 2015, at which time a one -year <br />period for maintenance and support began. Maintenance and support of the Bike Huts includes, <br />but is not limited to, maintaining and servicing the equipment and structure of the Bike Huts, <br />keeping the Bike Huts free of vandalism, ensuring access for users is maintained, assessing and <br />maintaining solar and wireless connections essential to the operation of the Bike Huts, <br />maintaining the reservation software and user database, collecting reservation fees, and <br />customer support. The Bike Huts currently have 93 registered users and have generated just <br />over $3000 in membership revenue. Revenue generated is currently used to cover damage to <br />the Bike Huts such as shattered windows. The Bike Huts are currently accessed an average of <br />227 times per month with the Bike Hut located at the Santa Ana Regional Transportation Center <br />25A -1 <br />
