REQUEST FOR <br />COUNCIL ACTION <br />CITY COUNCIL MEETING DATE: <br />MAY 16, 2017 <br />TITLE: <br />CONTRACT AWARD TO REYNOLDS <br />BUICK, INC., FOR A PICKUP <br />TRUCK WITH UTILITY BODY <br />(SPECIFICATION NO. 17 -038) <br />(STRATEGIC PLAN NO. 6,2) <br />C NAGER <br />RECOMMENDED ACTION <br />CLERK OF COUNCIL USE ONLY: <br />APPROVED <br />❑ As Recommended <br />❑ As Amended <br />❑ Ordinance on 1`' Reading <br />❑ Ordinance on 2ntl Reading <br />❑ Implementing Resolution <br />❑ Set Public Hearing For <br />CONTINUED TO <br />FILE NUMBER <br />Authorize a one -time purchase and payment of a purchase order to Reynolds Buick, Inc., for the <br />purchase of one % -ton pickup truck with a utility body in an amount not to exceed $64,968, and a <br />five percent contingency of $3,248, for a total amount not to exceed of $68,216, subject to <br />nonsubstantive changes approved by the City Manager and City Attorney. <br />DISCUSSION <br />The Finance and Management Services Agency, Facilities, Fleet Maintenance and Central <br />Stores Division, is responsible for the acquisition, maintenance, repair, and replacement of <br />vehicles, trucks, and maintenance equipment. The City's Vehicle Replacement Policy provides <br />guidelines and criteria for determining when vehicles need replacement. These criteria include <br />vehicle age, mileage, maintenance costs, and safety history. As a result of reviewing the City's <br />replacement criteria, a % -ton utility truck purchased in 2006 with usage totaling 172,208 miles <br />has been identified for replacement. This utility truck is assigned to the Public Works Water <br />Division and is utilized as their evening and weekend "call out" truck. Included in the purchase is <br />the construction and installation of a utility body to store tools and equipment to service <br />emergency call -out needs. <br />The Notice Inviting Bids was advertised on March 27, 2017, on the City's online bid management <br />and publication system. A summary of the bid invitations and bids received is as follows: <br />24 Vendors were notified <br />8 Vendors downloaded the bid packet <br />2 Bids received <br />1 Bid received from Santa Ana vendor <br />22C -1 <br />
