<br />REQUEST FOR <br />COUNCIL ACTION <br /> <br /> <br />CLERK OF COUNCIL USE ONLY: <br /> <br />CITY COUNCIL MEETING DATE: <br /> <br />MARCH 19, 2007 <br />TITLE: <br /> <br />APPROVED <br />o As Recommended <br />o As Amended <br />o Ordinance on 1'1 Reading <br />o Ordinance on 2" Reading <br />o Implementing Resolution <br />o Set Public Hearing For <br /> <br />AGREEEMENT FOR FLEET MANAGEMENT <br />SOFTWARE AND SUPPORT SERVICES <br /> <br />(V <br /> <br />r2/b~ <br />CITY MANAG R <br /> <br />CONTINUED TO <br /> <br />FILE NUMBER <br /> <br />RECOMMENDED ACTION <br /> <br />Direct the City Attorney to prepare and authorize the City Manager and <br />Clerk of the Council to execute an agreement with Ron Turley Associates, <br />Inc., for the fleet management software and support services in the amount <br />not to exceed $35,000. <br /> <br />DISCUSSION <br /> <br />The Fleet Division of Finance and Management Services Agency provides <br />maintenance and support to the City's fleet and miscellaneous equipment. <br />These items include police patrol vehicles, fire apparatus, street <br />sweepers, sedans as well as lawn mowers. Records for the equipment have <br />been maintained on software that is over 25 years old and provides <br />information stating the vehicle configuration, VIN number, and all <br />accessories. Maintenance records for all services performed by the Fleet <br />Maintenance Division are recorded manually. <br /> <br />In order to modernize the Fleet system, staff researched the Fleet Industry <br />for Fleet Management software. Flagship Fleet Management, LLC, CCG <br />Systems, Inc., Mitchell 1, and Ron Turley Associates, Inc., were identified <br />and were invited to demonstrate their product. The assessment team made up <br />of staff representing Mechanics, Fleet Management, Stores (warehouse) and <br />Finance Department Administration, recommends the Fleet Management Software <br />package from Ron Turley Associates, Inc., based on versatility, ease of use <br />and cost value. <br /> <br />The recommended software product will provide a database software program <br />that will facilitate Fleet technicians entering service work orders and <br />monitor the scheduled job completion. It is anticipated that the new <br />software will provide information that will help staff analyze true <br />maintenance costs and fuel consumption. The new program will provide the <br />ability to work in real time and the generated reports will provide Fleet <br />management a tool to maintain the City's vehicle fleet and equipment at <br />approved performance levels while minimizing work crews and inventory <br />levels. <br /> <br />258-1 <br />
