Authorize the City Manager and Clerk of the Council to execute an agreement with Major <br />League Infields, Inc. to provide infield maintenance services in District 3 in an annual <br />amount not to exceed $68,303, which includes a 10 percent contingency, for a term from <br />February 1, 2017 through January 31, 2019, with two, one -year renewal options, subject to <br />non - substantive changes approved by the City Manager and City Attorney. <br />2. Authorize the City Manager and Clerk of the Council to execute an agreement with <br />Professional Sports Field Maintenance, Inc. to provide infield maintenance services in <br />District 2 in an annual amount not to exceed $37,939, which includes a 10% contingency, <br />for a term from February 1, 2017 through January 31, 2019, with two, one -year renewal <br />options, subject to non - substantive changes approved by the City Manager and City <br />Attorney. <br />DISCUSSION <br />The Parks, Recreation and Community Services Agency ( PRCSA) divides the city into four <br />maintenance districts. On October 17, 2016, PRCSA issued a Request for Proposals (RFP) for <br />the infield maintenance of Districts 2 and 3. The Agency received two proposals from interested <br />companies. <br />An evaluation committee consisting of two representatives from PRCSA Park Maintenance and <br />one from PRCSA General Maintenance reviewed and rated the proposals. The proposals were <br />evaluated according to the criteria listed in the RFP, which includes firm /team experience, <br />relevant project experience, scope understanding, references, and fee. These two companies <br />currently provide maintenance for Districts 1 and 4 to the satisfaction of the City. The evaluation <br />committee made a determination to award an additional district to each company. Major League <br />Infield will maintain District 3 and Professional Sports Field Maintenance will maintain of District 2. <br />25E -1 <br />
