MCALL ENQINEEnINQ sEnVICas <br />Walar f{wtroUs — Option A <br />Another important communication link will be our e-mail system. We are proposing to use e-mail <br />to keep the City aware of the status of the project, Every two weeks, Tetra Tech will prepare a <br />brief (one or two paragraphs or bullet Items) e-mail summarizing the following; activities <br />completed in the previous two weeks; the activities planned for the upcoming two weeks; any <br />critical decisions that need to be made; and schedule of upcoming events/meetings. In addition, <br />each month we will prepare a project status report containing the following; summary of <br />completion of tasks; description of key issues/ooncerns which have surfaced along with <br />proposed options and solutions; status of action items; and a project status summary report <br />showing current schedule and budget status. <br />Communications <br />The key to any successful project is good communication, As our project partner, we propose to <br />Involve City staff In open, honest communioations-from the very start of the project, Our <br />communications Will include. bl-weekly e-mail reports; monthly reports, invoices and schedule <br />updates; regular meetings with City staff; and project dooumenlation available upon request. <br />All Information can be provided electronically via e-mail or through a website portal, At each <br />meeting our team will have our Project Manager and key design staff.present to facilitate the <br />discussion. We encourage the City to have at least our representative from Engineering and <br />one from Water Resources present at each meeting, However, we welcome as many City staff <br />who have Ideas and input on the project to attend our progress meetings, <br />Quality Control <br />Our team clearly understands the importance of ensuring the City receives a quality product, <br />We have assigned a QA/QC Manager, Mr. Mark Bush to ensure that all are the project goals <br />are met. A detailed Quality Control/Quality Assurance Plan will be prepared and submitted for <br />review, This plan establishes lines of communications and procedures for ensuring quality <br />during all phases of the project's design and construction; In keeping with our open <br />communications policy, all of our Quality Control documents will be made available to the City, <br />Information Including design reviews, responses to comments and redilne plans can be <br />provided in either hard copy or electronically upon request from the City. <br />Since the RFP did not have a detailed scope of work, Tetra Tech will use the recent Well No. 32 <br />and Well No. 29 Rehabilitation HFP's scope of work as the basis. Due to proposal page <br />Iflrlitation, we are only summarizing the scope of work included in those RFPs. <br />Task 1: General Administration and Meetings - Tetra Tech and the City of Santa Ana will <br />meet six (6) times: look -off meeting; preliminary well rehabilitation meeting; basis of design <br />meeting; 30%, 60%, and final design submittal meetings, Tetra Tech will prepare the agendas, <br />meeting minutes, and distribute the minutes to all attending or as required, <br />Tetra Tech will prepare a detailed project management plan and project schedule. In addition, <br />Tetra Tech will prepare and implement a QA/QC Plan. <br />For the sample project, Tetra Tech has also assumed that four (4) meetings will be required with <br />the City Public Works; Building, Electrical, Traffic Departments; City of Santa Ana Police <br />Department; Orange County Fire Authority; SCE; other utility companies; as necessary or <br />requested by the City, <br />01tV of Santa Ana , 12 - TETRA TECH <br />
