The Future State #2 workshop typically follows atl training during POC in order to incorporate <br />final changes into future state design. <br />The Future State #2 processes include; <br />• Meter Change-Out/Retrofit <br />• Billing & Read Validation (includes VEE) <br />• Customer Inquiry and Response <br />• Non -Pay Disconnect/Reconnect <br />• Move In/Out <br />• Events Et Reports (Data QA Matrix) <br />• Mass Meter Changeout (Deployment) <br />Deliverables: PowerPoint training slides incorporating ail business process decisions and workshop <br />updates (*.ppt), Final future state process diagrams (*.vsd), Final Events & Reports Data QA Matrix. <br />Task 2.4 - Business Process Audit <br />UtiliWorks will review and audit the core business processes with City staff to determine how <br />well the processes are working in the live environment. The audit wilt also identify what, if <br />any, adjustments are needed and provide insight into individual users' performance. UtitiWorks <br />will develop web forms to be used as test scripts to track each process audit. These scripts are <br />based on the final business process documentation and wilt be used by UtiliWorks to follow <br />along with each process step as they are performed by City staff onsite in a one on one format. <br />UtiliWorks wilt present summary findings and update the final business process documentation <br />as -needed based on findings from the audit. <br />Deliverables: Raw audit results, Summary report on key findings from audit (*.doc) <br />Task 3- Communications Campaign <br />Task 3.1 - Communications Campaign Planning <br />UtiliWorks will develop an outreach and education campaign/communications campaign plan <br />that is in lock -step with the AM] Proof of Concept schedule. The program wilt enhance internal <br />project communications for all utility departments and will foster proactive communications <br />with utility customers and other external stakeholders. UtiliWorks will schedule a discovery <br />with Santa Ana to address the following: <br />• Refine goals, objectives, and strategy of the program (taken from the assessment phase) <br />• Support the development of the overall project branding efforts <br />• Finalize (baseline) the Plan that will serve as the guideline for the project deliverables. <br />The plan will be updated periodically to reflect changes to the Campaign and the AM[ <br />Proof of Concept schedule. <br />Assumptions: The planning effort is conducted onsite <br />Deliverables: Communications Plan (*.doc) <br />The City of Santa Ana Page 1 10 <br />
