understanding of City philosophy, staffing, and current capabilities related to the technical and <br />business aspects of analytics and reporting. <br />Operational, exception, and Business Intelligence Reports will be defined through specific use <br />cases. These use cases will identify the interactions between users and systems to obtain the <br />desired output at the desired time interval and frequency. <br />Task 5A - Discovery and Use Case Identification <br />To understand Santa Ana goals, readiness, and existing staffing and infrastructure to support <br />the BI Reporting effort, UtiliWorks will conduct a series of discovery sessions. These sessions <br />are intended to determine the utility's technical and business readiness to leverage the AMI <br />data. <br />UtiliWorks will lead discovery sessions to assess the capabilities and maturity of operational <br />systems such as SCADA, CIS, GIS, and OMS. This includes how robust the software is and the <br />ability of the software application to integrate with other systems, both inbound and outbound. <br />We will assess the City's level of commitment to each respective software application and how <br />well the staff understands the underlying system architecture, data structure and data quality. <br />Participants are likely to include: system owners, power users, analysts, and system <br />administrators, <br />UtiliWorks will lead discovery sessions with City staff to identify and document existing reports, <br />dashboards, and data analytics currently performed. UtiliWorks will assess the technical <br />capabilities of the City staff such as the ability to extract data, develop queries, integrate data <br />with other systems, and develop reports. UtiliWorks will also assess the analytical capabilities <br />of existing staff and identify any apparent gaps that would hinder the BI Reporting effort. <br />UtiliWorks will lead discovery sessions with utility executives and department heads to outline <br />respective goals related to the enhancement, monitoring, and tracking of electric utility, water <br />utility, and business operations. This will include the identification of existing and desired <br />reports, dashboards and analytics. <br />The outcome of these discovery sessions will help to define the future reports, dashboards, and <br />analytics to be developed and inform the use cases that UtiliWorks will explore with City SMEs <br />in the subsequent task. <br />Assumptions; Up to eight (8) use cases will be identified for future analysis. <br />Deliverables: Onsite Kickoff Agenda and Presentation, Information coilected via discovery to be <br />summarized in the Recommendations Report <br />Task 5.2 - Use Case Design <br />A use case defines the interactions between users or systems to obtain the desired data or <br />information at a desired time interval and frequency for a defined purpose, <br />UtiliWorks will facilitate one-on•one whiteboard sessions with the designated SME(s) to develop <br />the specific use cases identified in the discovery sessions. The desired result of this process is <br />that staff begin to think about what data or methods for data retrieval and usage are available <br />beyond their current day-to-day activities. These sessions should be limited to those individuals <br />responsible for performing the task at hand to facilitate an in-depth discussion.
