1, Work with the CITY, and local non -profits in the CITY to promote and market the program <br />so that as many residents as possible throughout the CITY know about the program and <br />are able to apply. <br />2. Develop and host a user friendly online application and affidavit for the grant program with <br />a public link which will direct to an on-line application. The landing page for the <br />application will describe the program and invite eligible applicants to apply. All application <br />responses will be securely stored in an electronic file system, which will serve as a <br />repository for all program documents, and available for CITY staff to view at any time. <br />The online application system to be used is Submittable. <br />3. Online applications will be available in English, Spanish and Vietnamese. <br />4. Once grant inquiry applications are received, CONTRACTOR will determine the initial <br />eligibility status. Once approved for funding, grantees will enter the award phase whereby <br />W9 will be collected. Applicants will be informed via email regarding status, and be <br />provided information about timeline and payment form. <br />S, Once the grantee has completed all required documentation in the grant award process, <br />underwriting will take place. CONTRACTOR Accounting Staff will work with City of <br />Santa Ana staff to approve grantees and fund payments. <br />6. Ineligible grant applications will be notified of Ineligible status. <br />7. Both declined and approved applicants with completed applications will be notified within <br />5 business days of the funding decision. <br />8. Approved applications will be remotely closed using CONTRACTOR's automated grant <br />System. Documentation will include obtaining signed copies of the W9. <br />a <br />Itteetly <br />by the <br />10. CONTRACTOR will make available one program administrator; and bilingual staff with <br />English/Spanish and English/Vietnamese linguistic capabilities; as well as one accounting <br />professional to manage funding requests to the CITY for review and processing of grant <br />payments. <br />11. CONTRACTOR will ensure prospective applicants can contact members of the support <br />team through a local 714 number Monday -Friday from 9:OOam-5:OOpm. CONTRACTOR <br />support team will be bilingual in English, Spanish and Vietnamese. Voicemail will be <br />enabled on the lines, if the line is occupied with other callers. Calls will be returned between <br />24-48 business hours after the voicemail is left. Applicants can also contact the support <br />20 <br />
