The cost for this service must be clearly identified within the separate, <br />sealed cost proposal under the Controllable Expenses category. Contractor is to <br />keep a separate record on maintenance and repairs for each piece of equipment <br />and to provide a written report and relevant documentation at least quarterly as to <br />what preventative maintenance/repairs have been performed on each piece of <br />equipment. <br />b. Given proof of adequate maintenance, the City will replace equipment it has <br />provided as it deems necessary, considering the average life of equipment as <br />determined by the manufacturer as well as any extraordinary circumstances. <br />C. Contractor shall, at its own expense, repair any equipment that is damaged due to <br />the negligence of its employees. <br />d. The Contractor shall furnish all serviceware and accessories necessary to operate <br />the cafe. "Serviceware" includes but is not limited to: Pots, pans, cooking and eating <br />utensils, plates, trays, beverage containers, measuring utensils and containers, etc. <br />All serviceware and accessories purchased by the Contractor shall remain the <br />property of the Contractor and the Contractor shall be responsible for any loss <br />incurred. <br />e. Contractor shall furnish utensils, napkins, straws and any other accessories <br />necessary to Cafe patrons. <br />C. INVENTORY <br />The Contractor and the City shall jointly inventory all Cafe equipment and city -owned <br />serviceware under the Contractor's direct control at least twice yearly. <br />2. Prior to start-up of services, the Contractor and the City shall conduct a complete <br />inventory of all Cafe equipment and record the condition of said equipment. The results <br />of this inventory shall be kept on file with the Santa Ana Police Department Property and <br />Facilities Manager with copies retained by the Contractor. <br />D. BUILDING MAINTENANCE AND JANITORIAL <br />The City shall maintain and repair building structures in the Cafe. Painting shall be <br />included as part of building maintenance. <br />2. The Contractor shall be responsible for daily thorough cleaning of all trays, plates, <br />beverages containers, cooking and eating utensils, cooking and preparation equipment <br />and surfaces, refrigerators, freezers, soiled plate return area, and storage and washing <br />areas. All cleaning shall be conducted in accordance with all federal, state and local laws <br />and ordinances regarding health, sanitation and safety. <br />a. During the hours of Cafe operation, the Contractor shall empty trash cans and <br />dispose of trash as necessary, clean soiled tabletops, seats and booths and mop <br />spills. <br />RFP No. 20-025 Contracted Food Services and Inmate Commissary Page 36 of 57. <br />25E-33 <br />
