SCOPE OF SERVICES AND SCHEDULE <br />Task Order Scope and Schedule Development: The planning stage is a critical process in <br />developing the scope and schedule for each new task order. As a part of our time -tested task order <br />planning process, we assemble inputs from a wide range of related topics, organize them into <br />meaningful order, and develop the new task order using the following steps: <br />• Identify stakeholders <br />• Analyze project needs, objectives, and constraints <br />• Assess risks and identify potential obstacles <br />• Possible technical challenges <br />• Possible stakeholder or schedule constraints <br />• Assemble most appropriate project team members to develop project scope and schedule <br />• Develop a Work Breakdown Structure (WBS) to itemize scope items and tasks <br />• Assemble WBS into sequential and logical activities to create a project schedule and identify <br />the critical path <br />• Identify assumptions, exclusions, and additional needs for a task order proposal <br />The result is a well-defined scope of services that reduces the risk of unknown budget overruns and <br />schedule delays during the life cycle of the task order. <br />Kleinfelder will collaborate closely with the City during the planning process to develop the scope and <br />schedule for each new task order. We are sensitive to your requirements and will tailor our task order <br />scope and schedule to serve your needs. <br />Work products will be provided on or before scheduled deadlines and will be actively managed with <br />task order schedules. Schedule management will be accomplished by Kleinfelder's Task Order <br />Managers through monitoring of work product and verification of work in progress with scheduled <br />reviews. Schedules will be updated upon recognition of any change and prior to every progress <br />meeting. In certain circumstances projects may require an accelerated schedule. With Kleinfelder's <br />depth of resources and in-house services, in conjunction with our comprehensive group of <br />subconsultants, we can adapt to the City's schedule. <br />Although we try to identify project risks and hurdles during the project's planning stage, unforeseen <br />issues may arise that may cause delays. Kleinfelder is dedicated to the City's projects and will have <br />assigned personnel to ensure that we have the expertise and depth of personnel resources to adapt <br />to these unforeseen project challenges, identify float within a schedule, and reduce the negative <br />effects of project problems. Our Kleinfelder team can commit to many general schedule durations to <br />ensure that accelerated progress on each task order is made: <br />• Because our Contract and Task Order Leaders are available, we can commit to responding to <br />City phone calls within that same day and responding to City emails within one day. <br />• Because of our in-depth project planning process, we can commit to starting new task orders <br />within 24 hours after receiving Notice to Proceed (NTP). <br />• Because of our depth of expert staff resources assembled during the design phase of each <br />task order, we can commit to the following accelerated durations: <br />KLNFELDER City of Santa Ana On -Call Professional Engineering Services — No. 23-0301 Page 21 <br />41gM lMple, ngMbMrvnc <br />
