2. SCOPE OF SERVICES & SCHEDULE <br />GRIFFIN STRUCTURES 1 26 <br />Bidder Qualifications: Griffin possesses a <br />deep understanding of public facilities and <br />what is required of a successful Contractor. <br />We will bring this experience to bear as we <br />evaluate the qualifications of all bidders and <br />offer recommendations to the City. Griffin <br />recommends contractor pre -qualification <br />using the Department of Industrial Relations <br />framework. Griffin is well versed in managing <br />this process and has used it successfully on <br />multiple projects. <br />Issue Addenda: We will take the lead in <br />gathering the necessary documents and City <br />templates and will coordinate the distribution <br />of bid Addenda. <br />Bid Evaluations: Griffin will utilize its tailored <br />Bid Analysis sheet to evaluate the bids on a <br />line -item basis and offer recommendations to <br />the City for award. Any non -responsive bids or <br />non -responsible bidders will be flagged and <br />forwarded to the City for consideration. <br />Recommendation for Award: Once an analysis <br />is performed, Griffin will prepare and present <br />a recommendation for award to the City. This <br />effort would also include assisting the City in <br />preparing a staff report, which will include all <br />necessary information to adequately describe <br />the selection process to provide the Council <br />with adequate information to make an <br />informed decision to award. <br />Contract Award & Execution: Griffin <br />will participate in and assist the City in <br />representing the project at the time of Council <br />award. This effort will include assisting in <br />preparation of the staff report as needed. <br />Construction Management <br />Once construction begins, Griffin will employ a <br />vast array of policies, protocols, and techniques <br />to oversee and manage the contractor <br />successfully. Those services include the <br />following: <br />Pre -Construction Meeting: We will arrange <br />for and conduct the Pre -Construction <br />meeting and will provide both and agenda <br />and meeting minutes accordingly. Griffin will <br />ensure that all pertinent team members will <br />be present in coordination with City staff. <br />Contract Administration: Griffin will assist the <br />City's Project Manager with all aspects of the <br />contract compliance including all financial <br />controls, document controls, document <br />interpretations, discrepancies, constructability <br />problems, inspections, schedule oversight, and <br />all other tasks identified in the RFP. <br />Review Construction Schedule: As discussed <br />above, Griffin will review any and all schedules <br />provided by the Contractor to confirm they <br />meet the overall objectives of the project. <br />Accordingly, we will oversee and ensure the <br />activities in the field are consistent with the <br />approved schedule and will recommend <br />corrective action should they fail correlate. <br />Construction Progress Meetings: Griffin <br />will schedule, host, and oversee all project <br />meetings. Griffin will provide, or cause to be <br />provided, agendas and minutes as required for <br />the effective discussion and resolution of all <br />project related issues and resolution. <br />Shop Drawings and Submittal Reviews: We will <br />oversee the distribution of all shop drawings <br />and submittal reviews. Griffin will employ <br />the use of Submittal Exchange for expedient <br />distribution and tracking as described above. <br />GRIFFIN <br />STRUCTURES <br />
