This will help maintain or recover progress. <br />In conjunction with City staff, we will also negotiate <br />schedule adjustments with the Contractor, which may <br />be required due to weather, change orders, or other <br />impacts requiring schedule adjustments. Our team will <br />monitor and report monthly on the status of the project <br />construction budget. <br />Task 2.2 — Progress Meetings <br />We will conduct weekly progress meetings with the <br />Contractor and City representatives. The principal <br />purpose of the project coordination meetings will be to <br />provide the following: <br />1. Review progress and quality <br />2. Review submittal and requests for information (RFI) <br />3. Notify the attendees of construction deficiencies <br />4. Discuss labor, material, and equipment related to <br />upcoming work <br />5. Address team coordination matters <br />6. Address public convenience and access <br />7. Review maintenance of as -built drawings <br />throughout construction <br />When appropriate, the Cannon team will update <br />attendees regarding the project phasing and the <br />progress of right-of-way acquisition and its effect on <br />scheduling the work. <br />We will chair these meetings, conduct each meeting <br />according to a published agenda, and have meeting <br />summaries prepared and promptly distributed. Meeting <br />summaries will detail action items, the discussions that <br />ensued, and announce the time and date of the next <br />meeting. <br />Task 2.3 — Project File Database <br />With the City's approval, we will provide a web -based, <br />centralized document system using Procore. The <br />development and implementation of this document <br />system will include the following: <br />1. Design of the centralized document system to <br />support project file database <br />2. Procurement of the software and licenses for the <br />system <br />We will administer the project database by establishing <br />access and read/write permissions to District, <br />Contractor, and design engineer. Documents tracked <br />in the centralized web -based system will include the <br />following: <br />• Project drawings <br />• Project specifications <br />• Drawings and specification addendum <br />• Correspondence <br />• Submittals / shop drawings <br />• RFIs <br />• Change orders and change order requests <br />• Meeting agendas and meeting summaries <br />• Daily reports <br />• Daily photos <br />• Inspection reports <br />• Coordination of material testing with the County of <br />Orange <br />• Project schedules <br />• Progress payments <br />• Permits <br />• Warranties <br />The City requires the Contractor use the centralized <br />document system for management and transfer of the <br />project related documentation and correspondence. <br />If requested by City staff, we have the capability to <br />use an alternate, web -based centralized document <br />management system, including EADocs, Share Point, <br />One Drive, or other cloud -based file sharing systems. <br />In addition to maintaining a web -based document <br />management system, and to confirm that records are <br />organized, complete, and accessible, we will also <br />prepare hard copies of documents in project binders <br />following procedures outlined in Chapter 5 of the <br />Caltrans Construction Manual. We follow methods <br />of record keeping outlined in Caltrans Construction <br />Manual as a matter of practice, but we will also <br />incorporate City required policies, as needed.
