<br /> <br /> <br /> Page 24 <br /> Avocette Responsibilities: <br />• Provide timely and appropriate responses to City of Santa Ana’s request for information. <br />• Coordinate project and change management planning activities. <br />• Attend and facilitate the Kick-off meeting(s) <br />• Work with the City of Santa Ana project team to establish project governance structure (e.g. Steering Committee, Change <br />Advisory Board, interaction with other Clariti projects etc.) <br />• Complete the project plan <br />• Complete the project charter <br />• Create development and test environments as needed <br />• Plan and conduct the Clariti Project Team training – 2 days of class time. <br />• Complete deliverables and other project management and control tools and processes with input from appropriate City of <br />Santa Ana resources. <br /> <br /> City of Santa Ana Responsibilities: <br />• Identify and set expectations with key resources and subject matter experts for ongoing participation in the project. <br />• Provide timely and appropriate responses to Avocette’s requests for project planning input and meeting logistics requests. <br />• Provide meeting facilities for Project Kickoff and other onsite activities. <br />• Include Project Sponsor in Project Kickoff Meeting. <br />• Provide suitable facilities to accommodate training. <br />• Ensure that the document review periods established during Project Initiation and recorded in the Project Plan are adhered to <br />by the City of Santa Ana team <br />• Accept the stage deliverables (1,2, and 3) as per the Deliverable acceptance form and process noted in this SOW. <br />STAGE 2 – Analysis <br />In order to develop the content for the Gap-Fit Analysis Documents, Avocette will work closely with designated City of Santa Ana <br />project team members and other staff to conduct gap-fit analysis sessions that will use the City’s documentation as input for the gap- <br />fit analysis sessions. <br /> <br />This stage of the project requires significant City of Santa Ana participation to ensure all of the in-scope business processing <br />requirements are documented in the analysis documents and ultimately provided in the Land Management Information System <br />project solution.
