individual from City buildings. Individuals released from an assignment at the City will be
flagged appropriately and will not be allowed to re-enter the City -specific candidate labor
pool.
4.1.5.2 Rapid Responses
The collaboration of our team members and their experience working together as a cohesive
unit gives Intratek the ability to locate, qualify, hire and assign personnel in as little as 24
hours for personnel with a typical set of technical qualifications, and one week for personnel
with unique or hard -to -find qualifications. Following our refined system, our success rate for
placing staff in temporary assignments at client locations exceeds industry standard success
rates.
4.1.5.3 Plan for Managing the City's Requests for Staffing
A standard practice of ours is to establish a contract -specific email address for each contract.
These email addresses allow the customer to reach the entire PMO team with one simple
email and prevent a single point of failure in the event one member of the team is unable to
access their email. Requests for resumes, communications regarding candidates, contract
modifications, etc. can all be sent to the same email address. Emails sent to this address will
be delivered to the entire PMO team.
Upon receipt of a request for a resource, the engagement manager engages the resource
manager to initiate the fulfillment process. Intratek's engagement manager will work
directly with the City throughout the request lifecycle to ensure contract compliance,
superior customer satisfaction and complete issue resolution where applicable.
4.1.5.4 Incumbent Transition
We understand incumbent contractors are currently working at the City and are prepared to
rapidly transition their employment, if requested. Existing contractors will be quickly
transitioned to Intratek's employment to facilitate continuity of services. We are effective at
capturing all personnel desired by our clients and are confident in our ability to transition
incumbent personnel desired by ITD. Exhibit 4-2 outlines the process we use to transition
existing resources.
Exhibit 4-2: Incumbent Transition Plan.
Intratek's structured process ensures rapid and successful transition of incumbent contractors.
ClL'aActivity
1 Obtain names and contact information of existing
contractors to be transitioned
2 Contact existing contractors and schedule meetings
outside regular working hours
3 Meet with existing contractors individually to obtain
position, salary, and benefits information; and provide
employment application for completion
Engagement Manager, 1
Incumbent Contractor
and/or City ITD
Resource Manager 1
Engagement Manager, 3
Human Resources
4 Discuss salary, benefits, and hourly billing rates with the Engagement Manager, City 1
City and obtain approval from the City ITD
5 Prepare and extend formal employment offers Human Resources 2
RFP No. 20-124
Information Technology As -Needed Professional Services Page 1 26
