Services Provided <br />Project Objective <br />The City of Santa Ana (the City) is seeking a trusted provider to store their current and future records <br />for the Housing Authority of the City of Santa Ana (SAHA), the City of Santa Ana’s (COSA) <br />Community Development Agency (CDA), and Finance & Management Services Agency (FMSA) <br />(collectively COSA). With approximately 1,829 boxes ready for storage, SAHA and COSA require a <br />provider with secure facilities that are within 30 miles of City Hall while also having capacity for your <br />future storage needs. In addition to records management services, the City prefers a provider who <br />can also offer digital conversion services, digital storage, off-site access, and other related services. <br />Iron Mountain has been a trusted Records Management partner to the City since 2016. As such, Iron <br />Mountain is well-positioned to continue to meet your records management requirements and help <br />SAHA and COSA free-up office real estate for boxes currently being stored at your premises. Iron <br />Mountain offers ideal geographic compatibility, secure chain of custody, a proven retrieval process, <br />and a tenured operational team. We are a full-service information and records management provider <br />with capabilities to deliver comprehensive imaging services to digitize your records if needed. <br />Proposed Solution <br />Our solution for the City has been designed around your specific goals and information governance. <br />With a commitment to remain as your trusted information management partner, Iron Mountain will <br />deliver a records management solution built on integrity, a passion to protect, and service <br />excellence. <br />We will use the most cost efficient and effective routes to securely pick up and/or deliver your <br />records and store them in one of our six (6) facilities that are within a 30 mile radius of the City of <br />Santa Ana’s City Hall. With over 70 years of industry experience and a history of working with the <br />City for seven (7) years, we offer a proven chain of custody and barcoding system to ensure your <br />records are protected while in our possession. Our comprehensive records and information <br />management services include standardized solutions for transportation, retrievals, refiles, interfiling, <br />rush/critical delivery, indexing, scanning, destruction, carton purchases, and specialized labor. <br />Key elements of our solution to the City include: <br />Compatible Geographic Footprint <br />We offer secure records management storage within 30 miles of the <br />City Santa Ana’s City Hall at our facilities in Pico Rivera, Santa Ana, La <br />Palma, Cerritos, and Fullerton, California. <br />Pickup and Delivery Services <br />We validate that all new items are received with descriptive information. <br />Whether that information is keyed by us or by the City via Iron Mountain <br />Connect (IMConnect), we use multiple checks and balances to ensure <br />quality inventory control.
