Architects, <br /> Planners& <br /> Conservators <br /> Task 1.Project Outline,Management,and Coordination <br /> 1. Meet remotely with City staff to refine scope and establish project goals and objectives.Assumes <br /> one(1) meeting. <br /> 2. Prepare a project outline/work plan with schedule for review and approval by City staff. <br /> 3. Meet remotely with City staff and MIG(zoning code update consultant)to coordinate parallel <br /> efforts and review HSA/FA baseline information as developed in focused development histories <br /> under Task 4, below.Assumes one(1) meeting. <br /> 4. Participate in periodic project management meetings with City;prepare agendas and minutes for <br /> meetings.Assumes a maximum of 12 remote meetings over the course of the project,along with <br /> informal phone updates/discussions as needed. <br /> *Deliverable(s):Draft work plan and schedule;meeting agendas and minutes <br /> Task 2. Project Commencement <br /> 1. Refine and finalize work plan and project schedule. <br /> 2. Obtain and review relevant plans and policies, including the General Plan, historic preservation <br /> ordinance,ongoing studies, citywide design guidelines, GIS data, building permit records(if <br /> available),etc. <br /> *Deliverable(s):Final work plan and schedule <br /> Task 3.Community Engagement <br /> 1. Prepare a brief memorandum detailing planned meetings(participants,dates,times, locations, <br /> key messages,and questions)and describing participation at relevant Zoning Code Update <br /> community workshops.Submit memo to the City for review and revise per comments. <br /> 2. Assist the City with development of a paper form for submittal of information from the public. <br /> 3. Coordinate and collaborate with MIG on community outreach. <br /> 4. Participate in community meetings/workshops,stakeholder meetings,and small group <br /> discussions to gather information from residents and provide project updates.Assumes <br /> preparation of presentations;coordination and participation in up to 5 phone calls or in-person <br /> meetings with stakeholders(i.e. Preserve OC,Santa Ana Historical Society);and in-person <br /> attendance at a maximum of five(5)Zoning Code Update/neighborhood workshops. MIG to lead <br /> coordination,scheduling, and noticing for all Zoning Code Update meetings.Additional phone <br /> calls or meetings beyond those described herein will be billed on a time-and-materials basis at <br /> the Project Management level($180/hour). <br />
