CITY OF SANTA ANA <br /> <br />POLICE RECORDS SUPERVISOR II <br /> <br />DEFINITION <br /> <br />Under direction, directs, supervises and coordinates a very large group of employees <br />assigned to the day shift operation of the central records section o~ the Police <br />Department. <br /> <br />EXAMPLES OF DUTIES <br /> <br />Consults with administrative superiors regarding operational policies, procedures <br />and priorities; prepares work schedules and production standards; plans, organizes, <br />assigns, supervises and coordinates the activities of a large group of employees <br />engaged in performing a wide variety of complex clerical work involved in preparing, <br />processing, maintaining, and retrieving a very high volume of police data, reports <br />and records of crime, criminals, investigations, arrests, accidents, complaint <br />incidents, etc.; reviews work in progress or upon completion; analyzes and resolves <br />problems arising from work in progress; adjusts work assignments, procedures and <br />priorities to expedite workflow; coordinates activities with line units served; <br />investigates and takes appropriate action on complaints regarding operation and <br />personnel supervised; participates in the selection, training and evaluation of <br />personnel; motivates personnel to achieve work goals; maintains discipline and <br />resolves or participates in the resolution of employee grievances; observes and <br />strictly enforces security regulations and procedures pertaining to the processing <br />and maintenance of confidential records and reports; prepares activity reports and <br />special studies; estimates inventory needs and requisitions supplies; assists in the <br />preparation of budget estimates and the control of expenditures; may be required to <br />supervise the operation of two or more shifts in the absence of other supervisory <br />personnel or assume responsibility for directing all three shifts of the Records <br />Section in the absence or at the direction of the Police Records Manager; and performs <br />other related duties as required. <br /> <br />.DISTINGUISHING FEATURES OF THE CLASS <br /> <br />This single-position class differs from the lower level class of Police Records <br />Supervisor I in that the incumbent is responsible for supervising the busiest shift <br />with the largest number of employees (over 50% of the Records Section personnel). <br />Work requires the exercise of initiative and mature judgement in the application of <br />a specialized knowledge of complex clerical functions and procedures gained through <br />considerable on-the-job experience. Reports to Police Records Manager. <br /> <br />RECOMMEndED MINIMUM QUALIFICATIONS <br /> <br />Education equivalent to graduation from high school supplemented by coursework in <br />office management and two years full-time experience in supervising the activities <br />of a law enforcement or courts records management operation, or any equivalent com- <br />bination of training and experience which provides the following knowlege, skills and <br />abilities: Good knowledge of: modern office practices, procedures, systems equipment <br />and standard clerical techniques involved in classifying, indexing, processing, <br />filing, retrieving and controlling a large volume of records and reports; the basic <br />principles and techniques of supervision. Working knowledge of office management <br />principles and practies. Ability to: plan, organize and supervise the work of a <br />moderate to large sized group of general and specialized clerical employees in a <br />manner conductive to full performance and high morale; exercise initiative, judgement <br />and resourcefulness in carrying out operations and meeting work problems; and <br />understand and follow complex oral and written instructions. <br /> <br /> <br />
