<br />. @ <br />City of Santa Ana, CA. VINE Program Proposal <br /> <br />4.4.2 Letter Notification <br /> <br />VINE is capable of generating letters as alternative means of victim notification. The <br />letters will be generated by the agency through the VINE Interactive Program (VIP) and <br />will be printed the agency's letterhead to a local printer at the agency's location. The <br />agency will be responsible for putting the letters in the envelope and mail them to the <br />victims. Notification letters can be generated in two ways. <br /> <br />. <br /> <br />Letters as a backup to calls - Letters will be generated for each victim registered by the <br />customer only if the telephone notification is not confirmed. <br />Letters in addition to calls - Letters will be generated for each victim registered by the <br />customer in addition to notification calls made by the service. <br /> <br />. <br /> <br />4.5 <br /> <br />Retention ofInformation <br /> <br />Appriss will retain the latest offender and case information for a certain period of time to <br />allow callers to the VINE line to obtain the final custody and case status of the offenders. <br /> <br />4.5.1 ReleaselTransfer Notification Information <br /> <br />Only offenders currently in custody, recently released/transferred, or released and there <br />are still cases open for them will be retained in the system. The customer will be able <br />to specify a period of time ftom immediately to 90 days after an offender is released <br />(default period is 14 days) after which an offender will no longer be located in the <br />service. An offender who has been transferred or released within this period of time <br />will still be located and an appropriate status message will be played (i.e. This offender <br />was in custody but has been recently transferred to. . .). <br /> <br />4.5.2 <br /> <br />Victim Registration Information <br /> <br />Victim registration information will be kept in VINE until final notification of release <br />of all offenders for which that victim is registered. <br /> <br />4.6 <br /> <br />Script Customizations <br /> <br />The customer will be allowed to customize the script used during the incoming call by <br />modifying the following sections ofthe script: <br /> <br />. <br /> <br />Initial greeting when the call is first answered <br />Search options presented (ftom the following list) <br />,¡' Offender number (customer will choose what this field is called in their system) <br />,¡' Case number (customer will choose what this field is called in their system) <br />,¡' Arrest number (customer will choose what this is called) <br />,¡' Social security number <br /> <br />. <br /> <br />All information contained in this proposal (Ver. 6.3) is the <br />confidential and proprietary property of Appriss, Inc. <br /> <br />Page 17 <br /> <br />01/01/2001 <br />Proposal # 100901228-01 <br />
