4.4 Digital Evidence Management Proposer Support Profile: <br />The volume of digital data that the Santa Ana Police Department will be required to acquire, secure, <br />database, archive, and output will require a digital asset management system designed for a large agency <br />implementation. Linear Systems DIMS® software v4.0 has that capability along with a proven history and <br />installed base in small, medium, and large agencies. In addition, Linear Systems has the capability to <br />customize DIMS® to the current requirements and future needs of the Santa Ana Police Department. <br />Current customization projects in the DIMS® development calendar include a "Image Info" button for <br />access to detailed metadata from the Canon digital cameras and a slide show option on the DIMS® <br />Browser. All customization and upgrades will be offered at no additional charge. Linear Systems reserves <br />the right to determine the final level and extent of customization. Linear provides a complete turn key <br />solution including: <br />Needs Analysis <br />Cost JustificationAnalysis <br />Two -Year Plan <br />Site Spue <br />Utilization Analysis <br />Workdow Analysis <br />Backuo Contineency Plan <br />Policies and Procedures <br />System assembly <br />System installation and integration <br />User training <br />Administrator training <br />Telephone technical support <br />On-site technical support <br />Software upgrades <br />Warranty replacement <br />Extended hardware warranties <br />Extended on-site repair hardware warranties <br />4.4 Maintenance Agreement <br />A One -Year On-site Maintenance A¢reement is included in the proposal for the Linear Digital Asset <br />Management Solution. The option for 24/7/365 service response and on-site service is included. In <br />addition, the option for a four-hour (4 hr.) maximum service response time is also included. <br />A Second Year Depot Maintenance Agreement covering all hardware, software, and labor can be offered as <br />an option along with an option for a Second Year On-site Maintenance Agreement. These options can be <br />exercised anytime before the expiration of the first year warranty. Both of these options cover all Linear <br />Digital Asset Management Solution equ�ment including servers, download stations, RAID arrays, PDD <br />library, scanners, printers, and all DIMS hardware. An option for a second year warranty on the digital <br />cameras and associated peripherals can be made available from Linear at additional cost. Options for a <br />third year warranty provision for all products listed above can be offered upon request. <br />The equipment being proposed to Santa Ana Police Department is very high technology by today's <br />standards. Three (3) years from now, standards in technology will have changed substantially. To <br />maintain and support computer hardware and digital cameras for that length of time would certainly <br />involve replacement of old technology with new. The costs associated with replacing old technology with <br />new technology are hard to forecast, but it can be expected that replacing outdated hardware will be less <br />expensive than attempting to maintain old equipment. Therefore, Linear Systems recommends that the <br />costs associated with providing a service program past the third year would be better spent on purchasing <br />new computer and digital equipment after the expiration of the manufacturer's warranty. <br />Linear Systems Confidential Page #20 of 66 <br />Sana M PUP Nml W 5.da <br />
