City of Santa Ana On -Call Civil Engineering, Architectural & Landscaping Design Services 2■ WORK PLAN The City of Santa Ana is soliciting proposals from professional consulting firms to provide engineering and construction support services on an as -needed basis. The work consists of general engineering/architectural/ landscaping design projects on arterial and local roads and public parks and facilities on a citywide basis. The key to successfully completing on -call services is to have the depth of staff and to work as an extension of the City's engineering staff. Only five minutes from the Public Works Agency's office, DMJM Harris is ready to provide the staff and services needed for efficient work performance. The following work plan represents our general project approach. DMJM Harris will develop a specific work plan for each task order for which we are selected. The key to our approach is to provide the right team for each task. We use a five -step process (Figure 2-1) to ensure timely and effective response to our client's requests for on -call services. Phase 1- Preliminary Design • Schedule a kickoff meeting with the City to discuss project requirements • Assemble and review available information, including as-builts, master plans, and reports • Obtain design surveys and geotechnical report, as necessary • Prepare base plan at the appropriate scale. Base plan will include existing topography and utilities • Prepare the conceptual road alignment plan and profile drawings • Identify right-of-way requirements, if any, for the project • Develop landscape concept theme for the project • Prepare preliminary cost estimate • Submit preliminary plans, which include road alignment plan, landscape theme, and other plans as required, to the City's staff for review and comment • Revise preliminary plans based on the City's comments and resubmitted for staff approval Phase 2 - Final Design Based on the approved preliminary plans, DMJM Harris will perform the following work: • Prepare final road improvement plans • Produce street improvement plans and profiles at the appropriate scale. The plans will show existing utilities, curb and gutter improvements, new pavement construction and sidewalk improvements • Prepare landscape and irrigation plans • Provide project management, which generally includes the following tasks: — Attendance at meetings — Updating the master schedule — Coordinating with subconsultants — Coordinating with utility companies — Coordinating with affected agencies • Prepare preliminary cost estimate and specifications • Submit preliminary PS&E to the City and affected agencies for review and comment • Incorporate comments and prepare the final PS&E documents for the project • Coordinate utility relocations or new services, if required, with each respective utility company (D • Kickoff meeting/ 65% plans Bid support conceptual design 95% PS&E Site visits • Data collection Final PS&E submittal RFIs • Design surveys Utility coordination Shop drawing • Pavement evaluations Project coordination review • Conceptual road plans Permitting Record drawings • Conceptual landscape plans • Preliminary cost estimates
