Proposal for Parking Citation Services City of Santa Ana — November 5, 2008 <br />m. Issuance of notice of intent date, <br />n. DMV hold date, <br />o. Delinquent penalties, <br />p. Date citation entered system, <br />q. Disposition codes, <br />r. Registered owner information, and history of other owners if applicable <br />s. Comment field capable of holding up to a maximum of fifty (50) characters <br />t. Sub Plate (we will pick it up from the DMV if provided), <br />u. Beat, <br />v. Block, <br />w. Permit, <br />x. Location Comments, <br />y. Vehicle Model, <br />z. Vehicle Body Type. <br />System provides full status, history, changes, changes by operator, all associated dates and <br />note details. <br />CITY will be notified of any errors or questions regarding the citations. Hard copy <br />citations are forwarded to PHOENIX GROUP on a regular defined schedule. PHOENIX <br />GROUP will supply CITY with a tracking system for the citations that are sent by <br />delivery (in addition to automated communications). This system will allow us to verify <br />that all citations sent by CITY are received in our office. <br />The procedure for uploading the citation data from CITY will take place daily, unless <br />otherwise directed by CITY. Our staff will monitor the data files and keep track of each <br />file by date and size of the file. Currently, the hard copy citations are prepared to be <br />returned to the city in two days. Additionally they may be stored at PHOENIX GROUP <br />will be returned (or if requested, destroyed) after the citations are beyond six months <br />old, or other agreed upon period of storage within the terms of the contract. CITY will <br />be notified for approval prior to returning, deleting, or destroying any citation data. <br />2.03 Duplicate Citations <br />Duplicate Citations occur from time to time. Reasons vary from misprinting to problems <br />with ticket writers losing tickets or not completing the transaction properly. Phoenix <br />Group has created a method to handle such problems and collect the new ticket <br />information while leaving the original ticket and data on file. <br />20 <br />
