Proposal for Parking Citation Services City of Santa Ana - November 5, 2008 <br />2.36.System Access to Citation Data <br />The system is available every day with effectively no down time. Access into the <br />system is available the majority of the time during business hours, the remaining time is <br />dedicated to maintenance, system back -up, and other operations functions that are <br />required in any well managed computer environment, and which occur during non -prime <br />time hours. These routines do not impact the hours between 7:00 am - 5:00 pm daily <br />Additionally, each user may have a custom set up allowing them access that would i <br />a <br />specifically give them the information needed. For example, a hearing officer may be <br />set up to see citation data, but only edit an existing hearing with ability to enter the <br />disposition, reason, custom notes and even the data required to automatically generate <br />the reply letter. Other users may have "read only" access and finally the <br />administrator(s) of the program have the ability to set the individual users and access <br />capabilities. <br />2.37 System Security and Password Protection <br />PHOENIX GROUP will maintain citation and system confidentiality and will provide <br />adequate security measures to ensure the same. The computer system has multiple <br />levels of password protection to ensure the "need to know" of the operator. <br />Z I <br />2.38 Reporting — Electronic <br />1 52 <br />to let the operator know there has been correspondence. Phoenix Group <br />and CITY may enter phone notes. <br />18.Promissory <br />This will allow you to setup a promissory plan, or payment plan. The cite will <br />Note <br />remain suspended until the reactive date. If the cite is not paid or closed by <br />that date, the cite will automatically reopen. Note space is also provided <br />19. Violation <br />The ability to add a second or third violation to the citation. This will also <br />provide the ability to dismiss or void a violation already on file. <br />20.Violation <br />Changes to the Violation will allow for tracking of past entries in Violation <br />History <br />History. <br />21. Notices <br />This is view option to see and reprint the delinquent notice. <br />22. Letters <br />This feature provide the client with the ability to generate disposition letters, <br />Phoenix Group will mail the letters daily, and allow the client to view the <br />letters in a PDF format retrievable from the citation record. Other letters <br />include, NSF letters, Hearing set up, and Boot/tow warning letters. <br />23. Fees <br />Add or reduce fees.
