Proposal for Parking Citation Services City of Santa Ana — November 5. 2008 <br />Monthly reports will account for all data for the calendar month. We close our month <br />within three days of the next month, allowing both the Agency and Phoenix Group to <br />enter all data for the prior month. Any data not reflected or reported during this month <br />end process will be reported the following month. All data (such as payment dates) are <br />reported as to the exact payment date, however our system will also maintain Reporting <br />month, meaning the data may show a payment date of 12/31/05, but if not reported or <br />entered until 1/4/05 — the data would be reflected in the following month. The same <br />would apply to hard copy citations. We keep the data in the actual month of issue, but if <br />the data arrives after month end, it will still reflect in the month of activity but will not be <br />reported until the following month. Monthly reports are available to access over the <br />Internet using WINairE.NEIr. The reports are in a PDF format and only require <br />Adobe reader for viewing, searching, printing. Each report will include all the monthly <br />documentation for officer performance, revenue, DMV, billing, and surcharge <br />disbursement. This eliminates reports generated on paper and allows more flexibility <br />with information storage and retrieval. Report data is maintained on our servers for two <br />(2) years after which time the agency will have the option of obtaining an archive CD of <br />old report data. More details and Samples are provided in Section 9. <br />2.39 System Backup and (Disaster) Recovery PRIMARY HOST SYSTEM Backup and <br />Data Protection — PHOENIX GROUP <br />Currently Phoenix group's data is running on a Raid 5, which protects the data from <br />hard drive failure in addition, the Citation Data is copied in 30- minute increments to <br />protect from data corruption and allows for a quick restore. <br />Daily Backups are performed seven days a week with one end of week backup <br />and stored off site as well as one month of data maintained on site, the backup is <br />maintained on external media. With this daily and weekly backup procedure, in the <br />event of a failure due to unforeseen circumstances, the data should be restored within 2 <br />- 24 hours (dependant upon recovery needs). <br />53 <br />
