Task 1.3 Project Implementation Plan <br />Cordoba will prepare a Project Implementation Plan (PIP) approved by the City of Santa Ana to <br />manage all aspects of the project's scope, schedule and budget within the contract and be <br />compatible with already established City of Santa Ana systems, policies, procedures and <br />practices and/or any formats and procedures agreed to with the City of Santa Ana. All project <br />systems and procedures will be compatible with the City of Santa Ana systems and software. <br />Reports will be straightforward, easy to read and understand, logically organized and structured <br />to provide the relevant and important information. Reports will provide the needed information <br />for OCTA monthly reviews, assure the City of Santa Ana that the work is being accomplished as <br />planned, and facilitate OCTA's invoice review and approval. The team's project management <br />system will feature safeguards for the early identification of issues and their effective resolution <br />The PIP will identify key personnel, coordination of work plan activities and subconsultants. <br />Additionally, it will have an integrated approach to managing the work effort to control schedule, <br />budget and project quality, with input, review and approval from the City of Santa Ana's Project <br />Manager. Cordoba will also describe a system for Quality Assurance/Quality Control as part of <br />the PIP, as outlined in Task 1.8. Cordoba will submit a draft PIP to the City of Santa Ana Project <br />Manager within fourteen (14) days after NTP. The City of Santa Ana will review and approve the <br />PIP, once all comments have been incorporated. The PIP shall be approved within 30 days after <br />NTP. <br />Deliverable(s) - Draft and Final Project Implementation Plan <br />Task 1.4 Progress Meetings <br />1.4.1 Status Meetings - The Cordoba team will conduct, jointly with the City of Santa Ana, status <br />meetings in order to track progress on the project. Status meetings will be held once every two <br />weeks. Specific tasks and issues which have become critical or otherwise affect orderly <br />performance of the work will be highlighted at these meetings. The minutes and action item list <br />will be kept by Cordoba and not distributed until reviewed and approved by the City of Santa <br />Ana Project Manager. Upon approval from the City of Santa Ana Project Manager, the minutes <br />will be distributed (electronically) to the meeting attendees. Minutes will be distributed within five <br />working days of each meeting. <br />1.4.2 Project Development Team (PDT) Meetings — The Cordoba team will assist the City of <br />Santa Ana in developing a list of attendees for the monthly PDT meetings OCTA, Caltrans, City <br />of Garden Grove, Amtrak, SCRRA, Metrolink and other stakeholders will be invited to <br />participate at the PDT meetings. The minutes and action item list will be kept by the Cordoba <br />team and not distributed until reviewed and approved by the City of Santa Ana Project Manager. <br />Upon approval, the minutes will then be distributed (electronically) to the meeting attendees. <br />Minutes will be distributed within seven working days of each meeting. <br />Deliverable(s) - Agendas and Minutes: Attendance at up to fifty-two (60) biweekly Status <br />Meetings and twenty-four (28) PDT Meetings and development of meeting <br />minutes including an action item list for each meeting <br />Task 1.5 Coordination with Other Agencies and Stakeholders <br />The Cordoba team will assist the City of Santa Ana Project Manager to communicate and <br />2 1 P a <br />
