Project Development Team (PDT) Meetings - Consultant shall prepare <br />agendas for and lead monthly PDT meetings for the project. Consultant shall <br />assist the City of Santa Ana Project Manager in developing a list of invitees <br />for the monthly PDT meetings. At a minimum, OCTA rail and transit staff, <br />Metrolink/SCRRA, CPUC, Amtrak and City of Santa Ana Planning & Building <br />Agency and Community Development Agency representatives shall be invited <br />to attend PDT meetings. As deemed necessary by the City of Santa Ana 1 <br />Project Manager, the consultants leading the fixed guideway study, Santa <br />Ana Boulevard grade separations study, and the Station District development <br />project may also be invited to attend. Representatives from LAWA, <br />Greyhound and other service providers may also be invited, as appropriate. <br />LoJ Av,5,(-V L?rrfdl k&We-tifJ ` 1F'YJ+?a-,K '6- ' [ L?ukf <br />Draft agendas shall be sent to the Technical Team/PDT and City of Santa <br />Ana Project Manager at least three (3) days prior to each meeting. Specific <br />tasks and issues that have become critical or may affect orderly and timely <br />performance of the work will be highlighted at these meeting and solutions to <br />keep the project within scope and on schedule will be discussed. <br />At each biweekly Technical Team meeting and monthly PDT meeting, <br />Consultant shall take minutes and develop an action items list. Within two (2) <br />working days after each meeting, Consultant shall send draft minutes and <br />action items list to the City of Santa Ana Project Manager for review and <br />approval. Upon approval, the minutes shall be electronically distributed to all <br />Technical Team or PDT members, as appropriate, whether or not they <br />attended the meeting. Minutes shall be distributed within five (5) working days <br />of each meeting. <br />Deliverables - Agendas, minutes and action items; attendance at up to 52 <br />biweekly progress meetings and 24 monthly PDT meetings. <br />E. Coordination with Other Agencies and Stakeholders <br />Consultant shall assist the City of Santa Ana Project Manager in <br />communicating and coordinating with OCTA,. Metrolink/SCRRA, CPUC, <br />affected utility companies, Station District master developer, and other <br />stakeholders. It is anticipated that OCTA will keep FTA informed about the <br />SARTC Master Plan. If necessary, the Consultant shall assist the City to <br />prepare a draft of the federal funding application. <br />Consultant shall assist the City of Santa Ana Project Manager with <br />preparation of meeting materials and, along with the City of Santa Ana <br />Project Manager, shall attend focused meetings with each of the <br />stakeholders. Consultant shall also provide graphics for these meetings, as <br />appropriate. Consultant shall take minutes and develop an action items list. <br />Within two (2) working days after each meeting, Consultant shall send draft <br />minutes and action items list to the City of Santa Ana Project Manager for <br />review and approval.
