Services to be performed in response to this RFP include but not limited to: <br />1. Project Administration <br />2. Data Collection <br />3. Coordination <br />4. Standards <br />5. Site Survey <br />6. Environmental Documentation (ED) <br />7. Roadway Design <br />8. Railroad & Structural Design <br />9. Right -Of -Way <br />10. Utility Coordination & Relocation <br />11. Optional Services <br />The Consultant services shall require review and approval of the design by SCRRA. Formal <br />approval is expected to be provided through execution of both a Design Agreement and a <br />Construction and Maintenance Agreement. The CPUC approval is also required for all <br />modifications to rail crossings. It is anticipated that approval shall be provided through the CPUC <br />General Order 88-13 process. The successful team shall provide City staff with all necessary <br />support, applications, drawings, exhibits, meetings, submittals and resubmittals to obtain. <br />approvals. <br />1. PROJECT ADAHNISTRATION <br />This task includes the day-to-day management of the Project. The Consultant Project Manager <br />shall maintain ongoing liaison with the City Project Manager, agency contacts, railroad, <br />regulatory agencies and utility companies to promote effective coordination during the course <br />of project development. The following management and administrative duties shall be <br />performed: <br />• Supervise project staff, subconsultants, coordinate, and monitor work for conformance <br />with set standards and policies <br />Conduct internal meetings with project staff and subconsultants <br />+ Apply for and obtain permits necessary for the design team to be on the jobsite <br />• Apply for and obtain County and/or City approvals and permits, as necessary <br />• Prepare; circulate, and file correspondence and memoranda as appropriate <br />• Maintain Project files using specified filing system <br />Project Development Team (PDT) meetings with the City Project Manager, and other <br />representatives from affected agencies shall be held at least once a month and may be held on <br />a bi-weekly basis. The Consultant shall prepare meeting agendas and minutes for each meeting. <br />The minutes shall be distributed within 5 working days after the meeting to all attendees. The <br />minutes shall include, but not be limited to, a list of attendees with phone numbers and email, <br />a synopsis of discussion items, any pertinent information, action items, and all follow-ups to <br />the action items. <br />
