Existing pedestrian walkway systems classified as neighborhood <br />walks, community connectors, commercial walks, recreational <br />pathways and special urban plazas and public realm spaces <br />Existing public school / vocational school locations and im- <br />proved safe routes to school <br />Task Deliverables: <br />Meeting Notes, Monthly Meeting Notes, ListofAdvisory Group <br />Meetings, Listof Planning and Existing Conditions Data, Base Maps, <br />Meeting and Field Notes, Digital Photographs <br />1 •� 1 " 1 <br />The KTU +A team will work closely with the city to conduct pub- <br />licity and outreach efforts throughout the course of the project. <br />Understanding that this project will base many of the recommen- <br />dations on public outreach, a team of experienced outreach facil- <br />itators and community -based organizations have been included <br />in the team. KPA will provide the charrette facilitation and oversee <br />the outreach efforts and will be supported by SAAS. SAAS was <br />integral to the publicity for the Downtown Complete Streets Plan <br />and will now support the KTU +A team in outreach, facilitation and <br />other needs.Their extensive outreach capabilities will be critical to <br />reach the different demographics, businesses and organizations <br />within the study area.They will also be able to engage the indi- <br />vidual businesses and organizations along each of the corridors to <br />garner additional participation. <br />Task 2.1: Advisory Group Meeting #1 <br />Although not specified in the current scope of work, this task <br />needs to Include the development of an overall public outreach <br />strategy plan that will help to identify the unique needs of the <br />project and the community and assure that the commonly un- <br />der- represented groups are engaged in this process.The strategy <br />plan will build upon the experience and input from the Down- <br />town Complete Streets Plan and include sufficient detail on what <br />input is needed and when it is needed, what tools may be avail- <br />able to obtain this input, and how the input will be used. Specific <br />approaches, tools, meeting methodologies and outreach efforts <br />will be identified along a timeline and presented to the Advisory <br />Group at the first meeting. <br />The KTU +A team will then conduct the first Advisory Group <br />meeting.The key items on the agenda will include: scheduling <br />and location of the multi -day charrette, key stakeholders to invite, <br />problem areas to study, overview of the public outreach plan and <br />process and strategies for engaging underserved populations. <br />Task2.2: Produce Outreach Material <br />After review and comment from the Advisory Group has been <br />collected from Task 2.1, the team will refine the Initial project and <br />charrette announcement materials. In coordination with the city, <br />the KTU +A team will produce and print flyers (as well as on -line <br />announcements) publicizing the charrette for community -wide <br />distribution. KTU +A will be responsible for drafting a copy and, <br />in conjunction with SAAS, designing and printing other engage- <br />ment materials.These will include: <br />Project logo <br />Project overview and introductory descriptions <br />Project Frequently Asked Questions (FAQ) <br />Project timeline and milestone opportunities for public input <br />Formats, message and timing of press releases <br />Online survey <br />An online survey will provide an important baseline of driving, <br />walking, transit use and cycling behavior and preferences along <br />the different corridors. The sur- <br />vey results can be incorporated <br />into an active transportation <br />performance monitoring re- <br />port that can serve as a promo- <br />tional piece oriented towards <br />elected officials, city staff and <br />community members for fu- <br />ture funding and implementa- <br />tion. The survey can be hosted <br />on the city- hosted, project <br />website. Our experience has <br />shown that these online meth- <br />ods are efficient ways to gather <br />relevant information because <br />they allow those who cannot <br />attend the public workshops or <br />are hesitant to speak in public <br />to voice their concerns. <br />share <br />" <br />t <br />play! <br />>s � <br />K <br />Branded outreach materials cre <br />ed by KTU +A for the City of Chin <br />Bicycle and Pedestrian Master <br />at- <br />o <br />an <br />KTU +A, in association with SAAS and in coordination with the city, <br />will produce and print up to 5,000 flyers and 100 posters publiciz- <br />ing the charrette for community -wide distribution. Flyers will also <br />be produced in Spanish to reach predominantly Spanish- speaking <br />households.The KTU +A team, with SAAS support, would take care <br />to create culturally appropriate flyers that would be relevant for <br />the Spanish speaking communities in Santa Ana. <br />Examples of these Flyers could be postcard sized handouts that <br />team members can hand out at events leading up the charrette. <br />SAAS conducts Thursday Night bike rides and other weekly events <br />where continuous distribution can occur. This also allows for a <br />good geographic distribution since these bike rides and events <br />occur in different parts of the city. <br />Task 23: Distribute Outreach Material <br />The city, KTU +A, SAAS, local businesses, and religious and service <br />organizations will distribute flyers and information about the <br />charrette through their communication networks. Elementary <br />and middle /junior high schools nearthe study area will be asked <br />to send Flyers home with their students.
