The results <br />from the research and the BAFO's were analyzed to determine a final vendor. <br />Based upon the findings from this process, the Integrated Software Evaluation and Selection Committee <br />recommended the Police Department contract with TriTech Software Systems for its new CAD /RMS <br />solution. Of the six vendors that responded to the City's RFP, TriTech's system proved to be the best fit <br />for the Department, particularly in the following areas: <br />• CAD — TriTech's CAD system is the most robust, feature -rich application of those the Committee <br />reviewed. In addition, TriTech's CAD is expandable (e.g. custom command line; agency- designed <br />on- screen forms; access to CAD messaging, etc.), something no other vendor offered. <br />• RMS — TriTech has recently completely re- written its Records Management System, adding new <br />user tools such as drag- and -drop usage of existing information. Similar to the CAD, their RMS is <br />also customizable (e.g. adding new fields, tabs, etc.) as well as expandable (i.e. allowing agencies <br />to create completely new modules as well as custom report forms, each with its own specific <br />workflow). <br />• Innovation — Of the vendors that responded to the RFP, TriTech was the most innovative. They <br />have a history of incorporating new technologies, whether by developing components in -house or <br />by acquiring best -in -breed software solutions and merging them into their system. <br />The Police Department proposes to enter into an eight -year agreement with TriTech, Inc. beginning <br />November 17, 2015. The agreement includes a base agreement amount of $3,514,438.39 and a <br />$213,000 contingency to be used for unanticipated work at the City's sole discretion, for a total eight -year <br />agreement amount of $3,727,438.39. <br />In addition to this TriTech agreement cost, additional estimated project costs that the City will incur <br />include: <br />System Hardware $200,000 <br />Project Management/Programming Contract $730,000 <br />City IT Costs $TBD <br />25B -4 <br />
