Effective communication is one of the most important factors contributing to the success <br />of a project. Cell Phones & Smart Phones are used by Santa Fe Building Maintenance as <br />the main system to communicate between onsite cleaning crews, shift leads and <br />management, the office email, telephone and fax numbers are also made available to the <br />field staff for them to communicate with management, although face to face interaction <br />between management and field crews is always encouraged. This mode of <br />communication will also be made available to the City of Santa Ana Police Department. <br />Cell phone numbers and emails to the Project Supervisor and Contract Administrator will <br />be made available to the City Designated Representative once contract is awarded. The <br />following steps will help ensure that constant and effective communication is <br />accomplished with the City of Santa Ana Police Department. <br />Meetings <br />Santa Fes' account Supervisor will meet with the City Designated <br />Representative upon request or upon a schedule already set and <br />mutually agreed to. Meetings are often the most effective way to <br />effectively communicate with customers as well as to distribute <br />information to project staff. <br />Ongoing Service- (telephone calls, email, voicemail) <br />Occasionally our main office staff may call the City Designated <br />Representative to check and ensure service satisfaction. Our client <br />satisfaction is important in continuing to provide a great experience <br />and good customer service. <br />Company Reports <br />Reports will be used to analyze the performance of services being <br />provided and the performance of employees. These reports will allow <br />Santa Fe to collect important data such as quality of work, supply <br />inventory and employee performance. The Reports would allow Santa Fe to improve the <br />services being provided, employee performance and supply purchasing.
