GGR A N I C U S RFP NO.: 17-107 Automated Agenda Workflow <br />Program and Meeting Video Streaming/Archiving <br />2. PROJECT SCOPE <br />2.1. Granicus Modules <br />Included in this solutlon, Client will receive the following Granicus modules: <br />LEGISTAR is Granicus's end-to-end legislative management solution. Features include: <br />a. Live recording of actions, notes, speakers, and attendees will be through <br />LiveManager. These recordings import directly and automatically into Legistar <br />(user will initiate this action), automating the minutes recording process. <br />b. Granicus will configure Legistar and Media Manager to allow for an import and <br />export process to occur. Granicus will perform one or more tests after Legistar is <br />configured to confirm data Imports and exports from Legistar and Media <br />Manager. <br />c. Automation of the following business processes to support a streamlined <br />workflow, with modifications to achieve the best practices as necessary: <br />I. Legislation Drafting and Submission: when departments, agencies or <br />Council Member initiate legislation <br />II. Legislation Review and Approval: draft legislation delivered to <br />departments/agencies or meeting body for review and approval <br />111. Agenda Management: create and publish meeting agendas, provide <br />supporting material, and manage status of agenda items (e.g., <br />withdrawal, held, etc.) <br />IV. Meeting Management: create meeting minutes, provide supporting <br />material, and manage status of meeting items <br />V. Public Portal: publish items (e.g. agendas, minutes, statuses) and video to <br />Client public portal <br />VI. Amendments: can be recorded at every point of the legislative process <br />VII. Bill Closeout: record approvals, electronic signatures (Approval Tracking <br />System) and digital filing <br />VIII. Version Control: full version control of legislative files (not attachments) <br />throughout the legislative cycle <br />d. Electronic legislative history tracking and reporting: ability to research previous <br />and current legislation created within the system and supporting material, the <br />actions taken on the item/current status, and report on it. <br />e. Granicus provides a selection of standard formatting for a variety of <br />reports/documents (e.g. agenda packets, minutes, meeting calendar, <br />attendance report, etc.). Granicus will deliver these reports/documents as part <br />of the functionality of the system. Utilization of any or all of these reports is at <br />Client's discretion. <br />f. Samples of the reports/documents with the default configuration can be viewed <br />at: http://tinyuri.com/oanlamr.
